Field Service Analytics Apps: A Guide for Enterprise Contractors

In our experience working with enterprise contractors in the field service space, specifically the specialty trades, we’ve learned directly from our customers the challenges they face when it comes to reporting and analytics.

The data they need is being created every day, from jobs, dispatch, invoicing, payroll, and inventory. But it often lives in separate systems that don't talk to each other. So when they want to answer a basic question, like how their service and install divisions are trending towards their quarterly revenue targets, or how many install jobs are converting into service contracts, someone has to export three reports and reassemble them in a spreadsheet before they get an answer.

Making data-driven decisions is tedious, time-consuming, and error-prone. By the time contractors get the data they need, it’s already out of sync with what’s happening in the field. And because it was stitched together by hand, it’s hard to know if it’s 100% accurate. This leads to decisions being made on gut feel instead, which may work fine until you're running multiple trucks across several locations, and it starts costing you real money.

At ServiceTitan, we work with contractors running multi-truck, multi-branch operations, and this pattern shows up constantly. The fix usually isn't a separate analytics tool bolted onto the tech stack. It's getting your operational data into one place, so the reporting takes care of itself.

This post covers:

5 Signs You've Outgrown Your Current Analytics Setup

When an owner or operations manager starts hunting for a better way to see their numbers, it's usually because something underneath has already started showing cracks. A few patterns come up again and again:

1. Your systems don't talk to each other. Field service management in one tool, accounting in another, a CRM somewhere else, and a stack of spreadsheets holding it all together. Every report means exporting from each system and reconciling the pieces by hand. And by the time it's done, you've spent the time you were supposed to spend acting on it.

2. The data coming in isn't clean. Analytics are only as good as the data feeding them. If techs enter information inconsistently in the field, or the same customer shows up three times under slightly different names, no reporting layer fixes that. Disconnected systems make clean data harder to maintain, and the mess tends to compound.

3. Your numbers are always a few days behind. By the time you've pulled everything, reconciled it, and built a view you trust, the week has already moved on. You end up making decisions based on where things were, not where they are.

4. You can't see across locations or divisions. For a single shop, this is workable. The moment you're running more than one branch, or splitting service and construction, or trying to compare install versus maintenance performance, the lack of a clean roll-up view becomes a real problem. You can't manage what you can't see side by side.

5. The field and the office are working from different pictures. The technicians generating the data often have no visibility into their own performance, while the office is working off numbers that are hours or days behind. That gap makes accountability conversations harder and slows down coaching.

Most of the time, these are data problems before they're analytics problems. The question worth considering isn't which reporting tool to buy — it's why the underlying data is so fragmented in the first place.

What to Look for in a Field Service Analytics App

If you're weighing options, here are the features we’ve learned matter most for a trade business:

Data that's built in, not bolted on: When your field service analytics live on the same platform that runs your jobs, dispatching, and invoicing, the reporting reads straight from the source rather than a copy that's already going out of date.

Real-time visibility at the field-level: If a tech closes a job at 2 p.m., it helps to see that revenue in your dashboard at 2 p.m., not the next morning. That's the difference between managing the business as it moves and reviewing it after the fact.

Access for the office and the field: Your office team needs depth in their reporting. Your technicians ideally need to see their own numbers without having to call in. It's worth looking for field service management software that gives both, including mobile access so field teams can check performance from the same system they already use on every job. Analytics that only live on a back-office desktop leave a good chunk of your team out of the loop.

A roll-up view across locations: For multi-branch and enterprise operations, being able to run the same report across every location and see it in a single view, then drill into one branch when something looks off, saves a lot of headaches. Without it, comparing performance across the business means exporting and reassembling all over again, which is the thing you were trying to get away from.

Benchmarks built for the trades: A general business intelligence tool can tell you your revenue went up. What it usually can't tell you is whether your average ticket is healthy for a contractor of your size in your region, because it has no real sense of what that should look like. An analytics tool built for the trades is specifically designed to address that, because it’s grounded in how contracting businesses actually run.

The option to just ask: With the implementation of AI-based chat features, some field service analytics platforms enable you to ask questions of your data in plain language and get an answer back, instead of building a report from scratch every time.

KPIs that match how you run: Available metrics should reflect what a contracting business actually cares about, things like revenue per technician, first-time fix rate, pipeline by stage, and membership conversions. Key performance indicators borrowed from a generic sales or marketing tool often don't line up with how a trade business makes its money.

One quick note on the word “app,” since it can mean different things. Some people have a full analytics platform in mind, while others picture a mobile app on a technician’s phone. In practice, you want both: solid reporting in the office and useful analytics in the field, all powered by the same data. Throughout this guide, we treat field service analytics as both the software and the capability, with mobile access as part of the picture rather than the whole of it.

Where Horizontal and Bolt-On Tools Fall Short for the Trades

Plenty of contractors land on a popular horizontal platform for analytics, like Salesforce, Microsoft Dynamics 365 Field Service, or one of the CRM analytics and business intelligence tools that sit alongside them. These are genuinely capable products, and for some businesses, they're the right answer. The question is less about quality and more about fit.

What tends to trip people up is that these tools generally assume your operational data lives somewhere else and gets piped in. Salesforce CRM analytics and Microsoft's Service Cloud-style modules are built to be configured into almost any shape, which is a real strength in a lot of contexts. Where it gets harder for a trade business is what it takes to get there. Making a horizontal platform trade-ready often means bringing in consultants or developers to connect your systems and build custom datasets before you see a useful report. A lot of that is SDK work (the custom development a vendor's software development kit allows). You end up paying to build the thing, and then paying again to keep it running.

Even once it's built, the metrics tend to stay fairly generic. A platform designed for every industry doesn't naturally know the language of dispatch, pricebook, service agreements, or job costing. You can get it there, but you're translating your business into someone else's data model rather than working with software that’s purpose-built around these workflows and terminology.

Maintenance is part of the picture, too. A custom-built analytics layer becomes something you own and have to look after, so when the business changes, the reporting has to be rebuilt to match. It's easy to start out wanting to act on insights and end up spending your time keeping the reporting itself running instead.

None of this rules these platforms out. For a large enterprise with a dedicated analytics team and a good reason to standardize on Salesforce or Microsoft, they can work really well. But if you mostly want numbers you can trust without taking on a development project to get them, a platform built for the trades from the start tends to be a more direct route.

ServiceTitan Analytics: Built on the Data You Already Create

ServiceTitan runs your jobs, dispatching, invoicing, inventory, and payroll on one platform, so its analytics draw on a single live dataset. The reporting reflects what's happening in the business right now, with nothing to sync and nothing to reconcile. Here's what that gives you:

Dynamic Dashboards

ServiceTitan's modular dashboard gives you real-time visibility the moment you log in, with built-in modules you can filter by date range or business unit:

  • Business Metrics for revenue, trends, and core KPIs

  • Call Metrics for booking performance

  • CSR Metrics to compare your call agents side by side

  • Heat Map showing job and revenue density by ZIP code

When you need something more specific, ServiceTitan lets you build custom dashboards from KPI tiles, charts, and report-based modules, then share them with the team.

Deep Reporting

ServiceTitan's field reporting tools cover the full range of what a contracting business needs to track:

  • Templated reports across financial, operational, marketing, and inventory categories, with a Reporting Dictionary that explains every data field

  • Multi-Template Reports that join two templates on a shared entity like Customer ID or Job ID, so you can see across departments in one report

  • Scheduled delivery that sends any report to the right inboxes as a PDF or spreadsheet on the cadence you set, so decision-makers get their numbers without logging in

The template library covers most of what teams run day to day, and you can build custom reports when you need a view that isn't already there.

Performance Scorecards

Scorecards turn performance data into something you can work with, broken out so install and service are measured on their own terms:

Because the metrics are grouped by business unit division, a manager can see exactly where to focus a coaching conversation.

CRM Pipeline Analytics

Product Illustration

For commercial contractors running a sales operation with an active team, ServiceTitan CRM puts pipeline reporting on the same platform as the work it becomes:

  • Real-time pipeline dashboards showing pipeline health, open and weighted values by stage, and average days to close

  • Dedicated pipelines for service agreements, projects, and jobs, so you can see how many opportunities sit in each stage

  • No re-entry, since a won deal converts straight into scheduled work and your sales reporting matches reality

ServiceTitan CRM also connects with Convex for commercial sales intelligence (currently being rolled out)

Benchmark Reports

Product Illustration

ServiceTitan's Benchmark Reports tell you how your business stacks up against your peers, not just how it's trending on its own. Powered by Titan Intelligence, reports are delivered quarterly and compare your key metrics against anonymized averages for contractors of similar size and trade so you can:

  • See where you stand on the metrics that drive profitability, from average ticket to revenue per tech

  • Set realistic targets grounded in what comparable businesses actually achieve

  • Spot the areas with the most room to grow, then act on them with the rest of your ServiceTitan data behind you

This works because the comparison draws on trade-specific data across thousands of contractors, something a general business intelligence tool has no way to replicate. Benchmark Reports are available to customers who opt in to data sharing and have enough completed jobs in the period to generate a meaningful comparison.

Conversational Analytics with Atlas

Atlas is ServiceTitan's AI assistant, and it changes how you get to an answer. Instead of building a report, you ask a question in plain language and Atlas pulls the answer from your live ServiceTitan data:

  • Ask for KPIs or efficiency insights and get a response in plain English, no report building required

  • Have Atlas run a report or surface something worth attention, like a dip in booking rate or a standout estimate

  • In the field, technicians can ask Atlas about a job, a customer's history, or equipment details from the Field Service Mobile App, so they show up prepared without calling the office

Atlas works across both the office and the field, with its conversational reporting and cross-location querying available through Contact Center Pro and its in-app field answers through Field Pro.

Roll-Up Reporting Across Locations

Enterprise | Hub | Hero | Image

For multi-branch and enterprise operations, ServiceTitan's Enterprise Hub brings every location into a single reporting view:

  • Run any report template across all your locations at once, then drill into a single branch when something needs a closer look

  • Compare performance across the business without exporting and reassembling data manually

  • Track roll-up KPIs and dashboards across the whole operation, with one consistent set of numbers across every branch

This is the capability that makes the difference as you scale. The more locations and divisions you run, the more a clean cross-location view is worth, and the harder it is to manage with spreadsheets. Roll-up reporting is part of the Enterprise Hub offering.

Analytics in the Field

Product Illustration

Analytics aren't locked in the back office. With ServiceTitan, the same data that powers your dashboards surfaces to the people generating it:

  • Technicians see their own real-time scorecard in the Field Service Mobile App, right below the day's schedule, filterable by date range

  • The metrics a tech sees match what the office sees, so performance conversations start from the same numbers

  • Crews running routes and fleets can track driver performance through Fleet Pro

Giving field teams visibility into their own numbers does more than inform, it drives accountability. A tech who can see their average ticket and conversion rate against the team's is a tech who can act on it.

Open API and Integrations

ServiceTitan is built to be the place your data lives, even when other tools are part of your stack. From 30+ direct integrations to open APIs, ServiceTitan connects to the third-party platforms you already use:

  • Real-time data syncing keeps your systems aligned, so the numbers match wherever you look

  • ServiceTitan stays the system of record while feeding clean, structured data to wherever your analysts work

  • Teams that run their own business intelligence layer can build alongside ServiceTitan's native reporting rather than replacing it

This matters for larger operations with dedicated analysts. You get the trade-specific depth of ServiceTitan's native reporting and the flexibility to extend it, rather than being forced to choose.

The Metrics That Actually Matter

Product Illustration

A field service analytics app is only useful if it tracks what moves a contracting business. These are the metrics worth watching:

  • Operational: first-time fix rate, job scheduling and dispatching efficiency, route optimization, and time tracking against labor cost

  • Financial: revenue per technician, average ticket size, gross margin, and job costing

  • Sales: pipeline value by stage, average days to close, and win rate

  • Customer: satisfaction scores, retention, and service agreement renewals tied to preventive maintenance

ServiceTitan reports on all of these and more from the same data that runs your field service operations. The point isn't to track everything. It's to see the most important numbers that tell you whether the business is healthy, then act on them before a small problem becomes an expensive one.

Ready to See Your Whole Business on One Platform?

Analytics are only ever as good as the data underneath them. That's the advantage of a purpose-built, all-in-one platform. When work order management, asset tracking, preventive maintenance, dispatching, and time tracking all feed one system, the reporting reflects reality without anyone stitching it together first.

There's nothing to sync, nothing to reconcile, and no argument about which number is right, because everyone's looking at the same one. And the case compounds as you grow. The more trucks, locations, and divisions you run, the more a single source of truth is worth, and the harder a pile of disconnected tools becomes to manage.

That's what separates field service management solutions built for the trades from horizontal platforms adapted to fit. One reports on the work as it happens. With the other, you're often left to assemble the picture yourself.

If you want to see what your own numbers look like in one place, schedule a ServiceTitan demo and we'll walk you through it.
