How do we improve your ability to reduce manual entry?
“We don't want you to have to enter employees in payroll and then have to enter them in ServiceTitan. So, we've developed an integration that pushes those new employees from our system to ServiceTitan,” Grove says.
Accuracy
“And that, of course, not only creates some efficiencies, but it obviously improves accuracy, too. Nothing's going to get out of sync there,” he adds.
Allocation
If you have field employees working in different business units, on different jobs or projects, how do we make sure that labor is allocated properly?
“Allocation is very important to the ServiceTitan community,” Grove says.
Integrity
Data integrity is also important.
“How do we make sure the data, the time you're tracking against those different data points in ServiceTitan, flow through payroll properly, so when you want to push that data to QuickBooks, Gintax, or whatever accounting system, it comes through consistently with how you have that time worked in ServiceTitan?” Grove says.
How the Inova+ServiceTitan Integration Works
Inova+ServiceTitan utilizes API (Application Programming Interfaces) integrations to pull over all of your data — business units, employee roles, processes, jobs, locations, appointments, etc. — from your ServiceTitan account into Inova.
“We pull all of that and make sure it remains in sync,” Grove says.
Once you run your payroll, the integration syncs up journal entries with your accounting system, matching class codes in QuickBooks or dimensions in Sage Intacct plus job details, depending on how you structure your General Ledger. Then, the data flows from QuickBooks or Sage back to Inova, and synchronizes with your ServiceTitan data.
The final API integration makes it easy to add new hires to your payroll processes, send company updates to employees, and post employee time-off requests directly onto your ServiceTitan dispatch board.

Flexible timekeeping
Keeping payroll costing accurate is critically important to every business, Grove says, and ServiceTitan users can seamlessly use the same Inova payroll export feature that’s integrated into both systems.
“That's supported by ServiceTitan, so if that format ever changes or we have any adjustments that need to be made, that's not the master pay file, that’s a specific format that’s designed for us,” Grove explains.
The business unit allocation feature ensures the labor allocation on every job your business performs is categorized properly to the right department, such as your HVAC or plumbing division.
Tracking the customer’s location matters because local counties and states may tax employees’ pay differently, depending on where they’re actually performing the work.
“By pulling that customer location out of ServiceTitan, loading it into our system, and tracking the time they work at that customer's location, we can accurately tax that employee so you don't have to do that in any sort of manual way,” Grove says.
Properly allocating labor to the right business unit, employee, and customer location also ensures the proper allocation of benefits, employer taxes, and workers’ compensation insurance.
Finally, flexible timekeeping allows you to track data through activity codes to differentiate between work time and drive time.
Request paid time off
To ensure dispatchers don’t schedule employees for a job on a day or during a time they requested off, the Inova+ServiceTitan integration allows the employee’s pending time-off request to show up on the employee’s timesheet in Inova as well as the ServiceTitan dispatch board. Once the request is approved, the employee’s time-off status automatically refreshes in both locations.
“Hopefully, that just allows you to not have to do that maintenance in both places, whether it's payroll and ServiceTitan, in order to make sure that technician's not accidentally booked to a customer,” Grove says.
Employee mobile engagement
Most businesses in the trades connect with their field employees through mobile devices, whether it’s a smartphone or tablet, and the Inova+ServiceTitan integration offers a few mobile features you may not expect, Grove says.
Onboard new employees electronically
“If the employee begins working that first day, they can go onto their mobile app. Typically clients will put up a QR code, they'll get the app, and they can go through the onboarding on their mobile device,” Grove says. “They can also enroll in benefits as part of the onboarding or during open enrollment.”
Check pay stub history, time-off balance, leave requests
The mobile app also allows employees to engage with their pay history, see how much time off they still need to schedule, or check for leave-request approvals.
Bilingual compatibility
For employees who speak a different language, the mobile app also includes a bilingual feature that can be toggled off and on.
Company hub
The company hub is Inova’s “intranet of sorts,” Grove says, to help clients make content or updates about the business available to employees in a common area.
The Inova+ServiceTitan Bundle
When Inova began working with ServiceTitan several years ago, they agreed to create a package or bundled offering specifically tailored to ServiceTitan clients.
“We tried to bundle in the things that we heard from clients as the most important features they needed out of their solution, right out of the box,” Grove says, adding how many features still require customization to your specific business.
“If a client is looking for even more advanced functionality beyond this core bundle, we do offer an upgrade beyond this that creates even more customization and more functionality,” he says.
Inova’s financial goal for ServiceTitan clients is to help reinforce financial congruence between their technical systems, such as payroll and accounting.
“If you're not getting accurate financial reporting from ServiceTitan through payroll into your accounting system… To me, that’s a fundamental problem,” Grove says. “Or if it's taking you a lot of time and effort to get it accurate.”
