Episode Overview
One ServiceTitan customer took 7,000 calls in a single weekend during an extreme heat wave — and never lost a beat. That kind of resilience is exactly what Lindsey Gwirtz, Senior AI Solutions Architect at ServiceTitan, wants operators to understand about Voice Agent. On this episode of Mastering ServiceTitan, Gwirtz walks host Josh Lu through everything that's changed since the product's last appearance on the podcast, from new booking skills to a dramatically faster setup process. What used to take weeks with a third-party answering service now takes about 30 minutes, and the results are already showing up in booked jobs and freed-up CSR bandwidth.
Real Results: 500 Jobs and a 7,000-Call Weekend
Gwirtz and her team works directly with customers rolling out Voice Agent, and the numbers she sees are hard to ignore. Some accounts run it fully in front of their CSR team, meaning it only escalates to a human when it genuinely needs to.
That level of trust is producing volume most shops couldn't staff for on their own. As Gwirtz put it: "I have accounts that have booked 500 plus jobs in the last 30 days alone."
The heat-wave account is the extreme case, but it illustrates the core value proposition: capacity that scales instantly without a hiring cycle. When call volume spikes, the agent simply absorbs it. When the spike passes, nothing has to be unwound.
Getting a Voice Agent Live in 30 Minutes
Most shops start with overflow — calls that would otherwise sit in a queue or roll to voicemail during a rush. Setup itself is fast, and it's less technical than operators expect. The build covers:
Giving the agent a name and personality (some teams let their CSRs vote on it)
Defining which follow-up questions matter most for the technician showing up on-site
Setting daytime versus after-hours dispatch fees so the agent quotes correctly at noon or midnight
Connecting the agent into the existing phone system
From there, it's an ongoing tuning process rather than a one-time setup. Gwirtz reviews unbooked calls weekly with customers to find gaps — cases where the agent understood the customer but wasn't authorized to book that job type, or where ServiceTitan's internal terminology didn't match how a real customer described the problem on the phone.
Even the greeting gets tested. Gwirtz has found that softening the initial framing — from "you're about to speak to a virtual assistant" to "virtual concierge" — measurably improves how comfortable customers feel staying on the call.
New Skills: Confirmations, Reschedules, and After-Hours Booking
The feature set has expanded well past answering and booking calls. Recent additions, all live now under Skills & Capabilities in Voice Agent settings, include:
Confirmations and reschedules as separate, independently toggleable skills
Standby and waitlist tagging for customers who want a sooner appointment
Cancellation handling that first offers a reschedule or a dispatch-fee waiver before canceling
Automatic after-hours emergency booking, with the agent calling and texting the on-call technician directly — no dispatcher required, even without Dispatch Pro
Task creation tied to existing task types, so a missed booking or follow-up automatically lands on someone's plate
The after-hours piece is worth calling out specifically for shops not running Dispatch Pro. Rather than staffing a CSR to sit by the phone at 10 p.m. for an emergency call that may never come, the agent books the job and notifies the assigned technician on its own.
Past the Adaptive Capacity Fear, and Pricing That Fits Any Phone System
The biggest hesitation Gwirtz hears isn't about AI trust — it's about the prerequisite. Voice Agent requires Adaptive Capacity rather than the older ACP model, and that migration can feel like a project before the project. ServiceTitan runs a dedicated onboarding team specifically to get customers through that setup, often within the same week they ask for it.
On availability: Voice Agent isn't limited to Contact Center Pro. It runs standalone with any provider that can forward a call — Verizon, T-Mobile, or a small local carrier — and billing is per call, with no contract and no minimum commitment. Customers with predictable volume can lock in a lower per-call rate through a commit tier.
