Construction teams are under increasing pressure to deliver projects faster, more efficiently, and with greater accountability.
In a recent ServiceTitan webinar, Hov Arabyan, Principal Project Manager at ServiceTitan, explains how connected construction-project management via ServiceTitan software helps teams stay resilient as complexity grows.
Arabyan shows how ServiceTitan brings daily logs, change orders, and document management into a centralized system. With everything in one place, teams gain real-time visibility, collaborate more easily, and avoid costly miscommunications, so project leaders can keep work moving and deliver with confidence.
Here are some highlights.
Today’s challenges for construction contractors
Many construction teams juggle work across email threads, spreadsheets, paper forms, and disconnected platforms. As a result, critical project information gets lost or quickly becomes outdated, making it harder to keep teams in alignment. Arabyan explains how core workflows often depend on manual processes.
“Traditionally, the processes for RFIs, submittals, and change orders involve manual tracking, routing multiple handoffs, and waiting for responses that can take days or weeks,” Arabyan says. “Without a single source of truth, it's hard to know where your projects are at a glance.”
These disconnected systems create fragmented communication, slow response times, and limit real-time visibility and accountability. Over time, those breakdowns compound, leading to duplicative work and significant hits to the project budget.
Requests for information

Without a software solution, Arabyan explains how requests for information (RFIs) can slow projects down and often spark disputes. The process creates delays and puts revenue at risk. With details spread across emails, texts, and paper trails, RFIs quickly become messy.
ServiceTitan simplifies the process by letting teams create change orders instantly and link them to the relevant RFI record or issue. Project leaders can clearly define the scope of work, submit the change order for approval, and track everything in one place.
“With our new RFI recording system, your foreman pulls out their phone quickly, logs the conflict, snaps the photo, and creates the RFI instantly for the project manager to review and send it off,” Arabyan says. “In ServiceTitan, we give you the ability to create change orders instantly, associate them with relevant RFI records or issues, detail out the scope of work, and submit that change order for approval. It's all tracked in the same place as the rest of your operations and finances.”
Change orders

Change orders come with every project, Arabyan explains, but many teams still manage them in a way that feels messy and expensive. Work gets done in the field without proper documentation, or someone captures it too late and buries it in emails or spreadsheets. With information scattered across disconnected systems, teams lose track of what changed and why.
To solve this, ServiceTitan built a streamlined order request flow. Teams can create change orders instantly, including directly from an RFI, so every update stays documented, visible, and easy to approve.
And that paper trail matters, Arabyan says. If questions come up later like, “Why was this change order approved?” or “I never signed off on this,” project teams can quickly pull up the full history and see exactly what happened, when it happened, and who approved it.
“Six months down the road, eight months down the road, you have full documentation of everything that transpired, where you can backtrack your steps and say, ‘Hey, this change order was approved, and here's the RFI that discussed the underlying issue,’" Arabyan says.
Daily logs

Daily logs often get rushed, delayed, or skipped altogether. When teams fail to capture the details in real time, they miss important information and lose visibility into what actually happened in the field. That creates incomplete records, overlooked safety notes, and avoidable blind spots, issues that can later trigger costly disputes.
“ServiceTitan allows you to capture progress notes and pictures throughout the day as things happen—not hours, days, or weeks later—and your project teams can see those updates instantly,” Arabyan says. “With a centralized submittal log, you essentially reduce the approval cycle times and know exactly where things stand on all of your projects in real time.”
Later this year, he says ServiceTitan plans to roll out AI-powered recommendations that can act on your behalf. The AI will review project activity, such as daily log entries, and flag when the details suggest an RFI is needed. It can prompt your team to create one, and in some cases, it can even generate the RFI automatically. That way, critical issues don’t slip through the cracks.

Reporting and dashboards

Reports and dashboards give teams an easy way to spot trends before they turn into major issues. By scheduling and tracking the right metrics, project leaders can ensure teams perform at their best and no critical details slip through the cracks.
“If I go into my project operations, which is a net-new category, I can see a suite of reports available,” Arabyan says. "I can report on change orders, daily logs, RFIs, and submittals, and then see an overall project-level summary. The powerful thing about these reports is you can actually pull them into dashboards.”
Arabyan walks through a project dashboard that gives him a clear, high-level view of every job at a glance. The dashboard pulls in health scores reported by foremen through daily logs, making it easy to see which projects stay on track and which ones lack updates. When logs go missing, the gaps stand out immediately.
The visibility creates a built-in accountability tool, Arabyan says. Leaders can drill into the data to identify which foremen or crews haven’t submitted updates and step in with timely coaching before issues escalate.
The dashboard also shows active project lists and overall project health based on timesheets, days worked, and daily headcount. With daily log submission rates clearly visible, teams can stay accountable and ensure updates arrive on time. Each project view also includes a dedicated RFI section, showing how many RFIs exist at each stage along with their details, so nothing gets overlooked.
