Salaries: Office Staff by State in 2025

How much should you pay your office staff?

To hire the best customer service representatives (CSRs), dispatchers, and office staff for your field service company, you need to offer competitive pay. But knowing the ideal salary range to attract and retain top talent isn’t always clear-cut. 

“You don't know if you're the highest, or if you're the lowest,” says Pete Bradham of Bradham Brothers Inc. in Charlotte. “You just work off rumors, and that's difficult. Your fellow contractors aren't going to share that pay scale information with you. They may get you close, but we all know we're all close anyway.”

That’s where a little bit of knowledge can go a long way. A database of office worker salaries from Payscale.com, projected to June 1, 2025, shows the salaries business owners should offer when hiring and compensating CSRs, dispatchers, office managers, and office administrators.

The data projects the following year-over-year median salary increases nationally for CSRs, dispatchers, office managers, and office administrators.

The survey covers these job titles across all industries, not just in the trades. But the numbers are instructive in a competitive market.

“This data is invaluable as a business owner,” says Angie Snow, a ServiceTitan principal industry advisor and co-owner and vice president of Western Heating & Air Conditioning in Orem, Utah, about 40 miles south of Salt Lake City. “I would take that and analyze it for every single one of my roles and each person on my team and I'd ask, ‘How are we doing? How have they advanced? Am I paying them fairly?’

“Because I know my competitor down the road, if they're smart, they'll have the same data and they'll be doing the same thing. So I want to make sure I'm offering competitive wages for my people.”

Bradham agrees.

“Being able to have information that’s brought to us from a third party that, you might say, has no skin in the game really helps,” he says. “They just compile all of this information and give it to us. It’s tremendous because we know it's honest and we know it's straightforward.”

The data can help a business owner such as Snow or Bradham retain their best employees. For job seekers, it provides a baseline for what to expect and to see what can be.

The survey breaks down the numbers by state and largest city in each state. Businesses can see how they compare to the median, high, and low ends of the pay scale. Payscale’s data shows salaries and hourly wages by the 10th percentile – meaning 90% make more – the 50th percentile (the median), and the 90th percentile, meaning only 10% earn a higher rate of pay.

“You want to be competitive in your field,” Snow says. “And if you're going to be charging more than your competitors, shouldn't you be paying more than your competitors also?”

Snow mentions how fast-food restaurants in her area pay $15 or more per hour, then asks, rhetorically: “Why would anyone want to come be a CSR for me at $10 to $12 per hour when they can work at McDonald’s for $15?”

Despite the federal minimum wage remaining at $7.25, several state minimum wage rates now surpass $15. Business owners need to offer competitive pay to attract new applicants. If another business pays its employees $22 per hour and offers perks to make their work-life balance healthier, paying them $15 and enforcing stringent work rules won’t cut it.

The data is across all industries, but the numbers are still the numbers, and would allow an owner in Seattle or Indianapolis to compare the median pay to what his or her company offers.

  • For field service dispatchers, the national median salary for entry-level employees (up to two years experience) is $49,000, or an hourly rate of $23.56. That number can increase significantly in a short time, though. Intermediate-level employees (between two and four years experience) make $26.54 per hour, or $55,200 per year, a jump of 12.6%.

  • The range of salaries within the same state can be wide. In New Jersey, for example, a dispatcher with 2-4 years of experience could make $46,000 at the 10th percentile, but $77,600 at the 90th. The median in the Garden State for mid-level dispatchers is $59,500. 

  • California ($53,700) has the highest median salary for dispatchers at the entry level, followed by New Jersey, Washington, Massachusetts, New York, and Connecticut. West Virginia ($43,600) has the lowest, followed by Wyoming and Mississippi.

  • California also has the highest median salary for intermediate-level dispatchers ($60,500). West Virginia has the lowest at $50,200.

“I feel that a dispatcher really can make or break a service department,” Bradham says. “If the dispatcher is inefficient, you're going to lose money. If it's inefficient, you're not going to be able to give that customer the experience they want and we want, because you're either not communicating or you're not able to make the times or things like that.

“Besides that initial phone call, the dispatcher’s work is probably the most important piece of the business,” he adds.

  • CSRs start at a national median of $21.88 per hour ($45,500) and do not see as rapid an increase as dispatchers. In years 2-4, the national median pay is $49,600, a 9% increase.

That reflects the pay only, not the importance of the job.

“Having a great CSR sets the stage for the rest of the call,” Bradham says. “If they set it right, everything else always is a lot smoother. A good CSR has to be able to comfort that customer, help them understand that their work is our priority and we're going to take care of things.”

Why Do Dispatchers Make More Money than CSRs?

In evaluating the data, Snow says she understands why early pay for dispatchers is 7.7% higher than it is for CSRs.

“A CSR is taking inbound calls or making outbound calls, and their job is simply to make a connection with the customer to gather the information,” she says. “Once they've gathered that information, it's the dispatcher's job to take that information, analyze it, and figure out the best way to optimize a technician's route and make sure they assign the job to the right technician.

“Some CSRs do that, too; a lot of CSRs will do a dual role. But the dispatcher is really responsible for optimizing that dispatch board to make sure that you're not running technicians all over the place, that the board is focused.

“They're responsible to really make the money, make the company be as efficient as it can with the technicians and the calls that they have,” Snow says.

She adds that some CSRs advance from the call center into the dispatcher role, which could lead to higher wages.

  • Pay for office managers has the highest fluctuation between the 10th and 90th percentile. At the 10th percentile, they make $67,000, or $32.21 per hour. At the 90th percentile, they make $148,800, or $71.54 per hour. That’s an increase of 122%.

“Those management positions, they are critical positions,” Bradham says.

What does Bradham Brothers seek when it hires?

The ability to communicate.

“If a person has a great personality, is upbeat, happy, just ready to go, and is really engaged and a great communicator, those traits are what you're going to pay for,” Bradham says. “We can teach you how to fix something. We can teach you how to ask certain questions as a CSR. But if you don't have that personality or you don't have that empathy or that go-get-it spirit, there’s nothing we can do to fix that.

“We're going to pay for that great communicator. We'll teach you the rest,” he adds.

The database of salaries comes from Payscale.com, which works with human resources and compensation specialists to modernize compensation and salary benchmarking through technology. 

Payscale’s 2024-2025 Salary Budget Survey (SBS) is based on salary budget submissions collected between June of 2024 and projected to June of 2025 from 1,550 organizations.

The data includes figures for the 10th, 50th, and 90th percentiles for various experience levels, providing a range for office staff salaries that informs hiring managers and job seekers alike. The 90th percentile figure is the office worker salary at which 90% of similar employees make less, and 10% make more.  

To maintain congruence, each survey's median office worker salary data is projected to June 1, 2025, using aging factors specific to the combination of the job's function, level, and geographic location. The figures include base salary only, so benefits, commissions, bonuses, spiffs, and similar enhancements are not included. 

The data is broken down for office worker salaries by state, region, and for selected cities.

What cities have the highest median salary for CSRs?

San Francisco has the highest median CSR entry-level salaries across industries, at $52,100, or $25.05 per hour. That’s an increase of 13.5% from 2024. San Francisco also has the highest intermediate-level (2-4 years of experience) pay at $56,900.

Do dispatcher jobs pay well?

Dispatchers are rewarded financially for work that can be stressful and fast-paced. Intermediate-level dispatchers with 2-4 years of experience nationwide have a median salary of $55,200, while dispatchers in the 90th percentile make $72,100. In California, that 90th-percentile number is a nation-best at $78,900.

San Francisco has the highest salaries for entry-level dispatchers, at $58,200, or $27.98 per hour. New York City, Newark (NJ), Seattle, and Bridgeport (CT) complete the top 5.

How should companies think about remote work and pay?

The survey does bring to mind interesting questions on philosophy, especially in the era of more remote work. Snow has a dispatcher who was allowed to work from Southern Utah, where the employee and her family wanted to live. She can still do the work through PhonesPro on ServiceTitan, but where she lives may affect her cost of living and pay.

“She can answer our phones and dispatch from anywhere, but she’s in a different area now,” Snow says. “How does that impact salaries?”

One key factor: Snow says the employee “totally” brings the same value to the company in Southern Utah as the individual did in the Salt Lake City area.

“Maybe the cost of living is a lot higher down there,” Snow says. “So, I need to pay those types of wages now, since she is still of value to me.”

The bottom line

The discussion reveals the importance of the survey data. With knowledge comes the ability to ensure team members are taken care of, and that a business’s pay scale is commensurate with others in the area and in the state.

“This type of information would've been so invaluable to me to, No. 1, make sure I was taking care of my employee and that they were getting paid fairly for the job and what they're worth,” Snow says. “And No. 2, it would help me be competitive and know that I’m hiring and paying competitive wages.

“It's going to help both the employer and the employee.

“I think that the bottom line is it's going to help raise the bar for our entire industry and help us all make sure we're paying at that competitive professional level,” she adds.
